Ob privat oder beruflich – die digitale Kommunikation nimmt einen immer größeren Teil unseres Alltags ein. An Schulen sieht es jedoch oft anders aus, zumindest was den Informationsfluss betrifft. Gerade in Notfällen, aber auch wenn es darum geht, Einverständniserklärungen rechtssicher abzugeben, Kinder krankzumelden oder zu informieren, dass der Unterricht ausfällt, ist schnelle und direkte Kommunikation für Schüler, Lehrkräfte und Eltern von entscheidender Bedeutung.

Wie das effizient und alltagstauglich umgesetzt werden kann, erklärt Christian Stredicke, CEO von Vodia. Er erklärt, welche positiven Erfahrungen Schulen bereits mit VoIP-Telefonanlagen gemacht haben, wo noch Handlungsbedarf besteht – und mit welchen Tools die Kommunikation für alle Beteiligten einfacher und moderner wird.

Der „DigitalPakt Schule“ wurde 2019 von der Bundesregierung beschlossen, um die IT-Infrastruktur an Schulen zu verbessern und Schüler sowie Lehrkräfte digital fit zu machen. Über drei Milliarden Euro flossen bereits in WLAN und Endgeräte in Bildungseinrichtungen. Der „DigitalPakt 2.0“ soll noch dieses Jahr folgen. Im Fokus der deutschen Digitalstrategien für Schulen stehen dabei sicheres Kommunizieren, digitale Identitäten, Datenschutz und ein reflektierter Umgang mit Medien.

Während moderne Tools im Unterricht selbst immer öfter angewendet werden, bleibt die allgemeine Kommunikation im Schulwesen oft noch hinter den Möglichkeiten zurück. „Die Kommunikation erfolgt häufig noch beispielsweise über klassische Telefonanlagen. Bis eine Information etwa vom Sekretariat bei Lehrkräften oder Schülern ankommt, vergeht mitunter viel wertvolle Zeit“, erklärt Christian Stredicke, CEO von Vodia, der sich seit zwanzig Jahren mit modernen Telefonsystemen beschäftigt. Er zeigt auf, welche Vorteile und Sicherheit VoIP-Anlagen in Schulen bieten.  Dazu zählen: Entlastung des Sekretariats, schnelle Kommunikation im Alltag und Alarmsysteme. Zusätzlich wird darauf geachtet, dass die Privatsphäre, sowie der Datenschutz gewahrt bleiben.

VoIP im Schulalltag: Die „Schlaue Schule“ macht es vor

Wer kennt es nicht aus seiner eigenen Schulzeit? Ein Krankheitsfall, eine Stunde fällt aus oder eine wichtige Information muss schnell an Schüler, Lehrer oder Eltern weitergegeben werden. Doch bis die Nummer des jeweiligen Lehrers oder Elternteils gefunden ist und die Nachricht die zuständige Person erreicht, vergeht meist viel Zeit. Gerade in Notfällen, in denen jede Sekunde zählt, ist eine schnelle Informationsverteilung im Schulwesen essenziell. „Genau hier können VoIP-Anlagen einen großen Unterschied machen. Durch digitale Rufannahme oder die automatisierte Verarbeitung mittels Sprachnachrichten und KI können Informationen rasch erfasst, weitergeleitet und dokumentiert werden“, erklärt Stredicke.

Digital communication is taking up an increasingly large part of our everyday lives, whether private or professional. However, things are often different in schools, at least when it comes to the flow of information. In emergencies, for example, and when providing legally secure declarations of consent, reporting children sick, or informing them that classes are canceled, fast and direct communication is crucial for students, teachers, and parents.

Stredicke explains how to implement efficient, everyday communication. He discusses positive experiences that schools have had with VoIP telephone systems, areas where improvements are needed, and tools that facilitate modern communication for everyone involved.

In 2019, the federal government passed the „DigitalPakt School“ to improve IT infrastructure in schools and make students and teachers digitally fit. Over three billion euros have already been allocated for WLAN and devices in educational institutions. The „DigitalPakt 2.0“ is scheduled to follow this year. German digital strategies for schools focus on secure communication, digital identities, data protection, and reflective media use.

Although modern tools are increasingly being used in the classroom, general communication within the school system often falls short of what is possible. „Communication often takes place via classic telephone systems, for example. Sometimes it takes a lot of time for information from the secretariat to reach teachers or students,“ explains Christian Stredicke, CEO of Vodia, who has twenty years of experience working with modern telephone systems. This illustrates the advantages and security that VoIP systems offer in schools.  These include relieving the secretariat’s workload, enabling fast communication, and providing alarm systems. Additionally, care is taken to ensure privacy and data protection.

VoIP in everyday school life

Who doesn’t remember this from their own school days? An illness, an hour is canceled, or important information must be quickly communicated to students, teachers, or parents. However, it often takes a long time to find the respective teacher or parent’s number and deliver the message to the right person. In emergencies, where every second counts, the rapid distribution of information within the school system is essential. „This is exactly where VoIP systems can make a big difference. Information can be quickly recorded, forwarded, and documented through digital call acceptance or automated processing using voice messages and AI,“ explains Stredicke.
